Introduction

Ibtikx W.L.L (“we”, “us”, “our”) operates the Stayref mobile application (package name com.ibtikx.stayref), including Stayref Pro. This Privacy Policy explains how we handle information when you use Stayref.

1. Summary

Stayref is designed as a privacy-oriented, local-first file organizer:

• Your files stay on your device in their original locations. Stayref builds a local index (metadata, search text, thumbnails) and does not copy your entire library into our servers.
• Indexing, OCR, duplicate detection, and search run on your device by default.
• Data is sent off your device only when you use features that require it (for example cloud sync, document conversion, transcription, or support messages).

2. Information we process

The following sections describe information Stayref may process on your device or when you use optional features.

2.1 Information stored on your device (local)

When you use Stayref, the app may store on your device:

• File metadata (names, paths, sizes, types, dates)
• Thumbnails and app-generated previews
• OCR text and labels extracted from images/documents (on-device)
• Notes, tags, collections, and app settings
• Search index data
• Optional app lock credentials (handled by your device’s secure storage / biometrics)

This data remains on your device unless you choose to export, back up, or sync it.

2.2 Information you choose to send from the app

Depending on features you use, Stayref may transmit the data described below.

We do not operate a Stayref user account system that stores your personal files on our servers for general browsing or storage.

2.3 Subscriptions (Stayref Pro)

If you purchase Stayref Pro, payment is processed by Google Play or the Apple App Store. We use RevenueCat to verify subscription status in the app. We receive subscription/entitlement status from those services, not your full payment card details.

2.4 Advertising (free tier)

If you use Stayref without an active Pro subscription, the app may show ads through Google AdMob. AdMob may collect device and usage data for ad delivery and measurement under Google’s policies. Where required (for example EEA/UK), we will request your consent choices (such as in-app “Ad privacy choices”). Pro subscribers do not receive ads in the app.

3. Permissions

Stayref may request device permissions so features work, for example:

• Storage / media access — to index and open files on your device
• Camera — document scanner and capture
• Microphone — voice notes and transcription
• Notifications — reminders and background scan completion
• Biometrics — optional app lock
• Network — sync, conversion, transcription, ads, and updates
• Location (if used) — only where a feature requires it (e.g. geotagging); not for unrelated tracking

You can deny permissions in system settings; some features may not work without them.

4. How we use information

We use information to:

• Index, search, organize, and display your files on your device
• Provide tools you request (convert, transcribe, export, sync, etc.)
• Verify Pro subscription status and disable ads for subscribers
• Show ads on the free tier
• Respond to support requests
• Improve stability and fix bugs (e.g. crash reports, if enabled)
• Comply with law and protect our rights

We do not sell your personal files.

5. Data retention

• On-device data — kept until you delete it, reset the app/vault, or uninstall Stayref.
• Conversion/transcription — processed for the request; not kept as a permanent file archive on our servers.
• Support messages — kept as long as needed to handle your request and for reasonable business records.
• Subscription data — managed per Google/Apple/RevenueCat retention policies.
• Ad/analytics data — per Google AdMob and related providers’ policies.

6. Sharing with third parties

We may share data with service providers that help us run Stayref, including:

• Google — AdMob, ML Kit (on-device), Sign-In (if used for cloud)
• Apple — in-app purchases (iOS)
• Microsoft / Dropbox — when you connect those cloud providers
• RevenueCat — subscription management
• Sentry / Firebase Crashlytics — crash reporting (if enabled)
• Hosting/conversion providers — for api.ibtikx.com/stayref services

These providers process data under their own terms and privacy policies. We require them to handle data only as needed to provide the service. We may also disclose information if required by law or to protect users and our services.

7. Security

We use reasonable technical and organizational measures to protect data in transit (e.g. HTTPS) and in our systems. No method of transmission or storage is 100% secure. You are responsible for securing your device and cloud accounts.

8. Children’s privacy

Stayref is not directed at children. You must meet the minimum age required in your country to use app stores and online services (and in any event not under 13, or under 16 where that is the digital consent age, such as in parts of the EEA/UK, unless a parent or guardian has consented as required by law). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact support@ibtikx.com.

9. International users

If you use Stayref from outside Kingdom of Bahrain, your information may be processed in countries where we or our providers operate. By using Stayref, you understand that data may be transferred to those locations.

10. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or restrict certain processing of your personal data.

• On-device data: clear app data, reset vault, or uninstall the app
• Cloud sync: disconnect providers in Settings
• Subscriptions: manage or cancel in Google Play or Apple ID settings
• Ads: upgrade to Stayref Pro, use in-app Ad privacy choices where available, or adjust device/ad settings

We will respond within a reasonable time as required by applicable law.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the new version at https://ibtikx.com/stayref/privacy and update the “Last updated” date. Continued use of Stayref after changes means you accept the updated policy, except where applicable law requires additional consent.
